Registration and abstract submission

All participants are required to register beforehand through the online meeting system (OMS).

Contributors (First Author or Presenter, in principle) have to make Registration before submitting abstracts. The registration of co-author(s) is unnecessary. The "Registration Form" website is available from the bottom of this page.

After completion of the registration, please login to the "Abstract Submission" form and submit your abstract. The abstract should be prepared in accordance with the Guideline for Creating Abstracts shown below.

If you intend to submit multiple abstracts, you are required to submit for each (however, you need not register for each).

Deadlines

Deadline for Registration and abstract submission is 12:00 JST on 7th October 2022. (JST=UTC+9hours, i.e., it is 03:00 UT on 7th October.)

Deadline extended to 12:00 JST on 14th October 2022. (JST=UTC+9hours, i.e., it is 03:00 UT on 14th October.)

Guideline for creating abstracts

  • The abstract should be a PDF file of no longer than two pages on an A4 sheet, including figures, tables, and references. File size including tables and figures must be smaller than 20MB in PDF.
  • Authors must use the abstract template (Microsoft Word and PDF files) and follow the format carefully. Be sure to submit your abstract file after converting it to (or saving it in) PDF format. Name of the PDF file is arbitrary.
  • Margin
    Upper margin : 20 mm
    Lower margin : 20 mm
    Right margin : 15 mm
    Left margin : 15 mm
  • Space between lines is fixed 14-point (approximately 4.9 mm)
  • Language : English
  • Font : Times New Roman
  • Font size
    Title : 12-point Bold
    Author list : 10-point
    Organization list : 10-point italic
    Main text : 10-point
Figure and table font size : 9-point.
  • Insert a blank line between title and authors, and between organization and main text.

Note: The copyright of the abstract belongs to the authors. Please note that Local Organizing Committee (LOC) of the 13th Symposium on Polar Science has a right to publish the Abstract on the National Institute of Polar Research Information Repository (NIPR repository) website. Please read the operating guideline of the repository (https://nipr.repo.nii.ac.jp/?action=common_download_main&upload_id=7570) and continue to register only if you agree to the guideline. NIPR can distribute the abstract as a booklet or a recording medium. The abstract is appropriately discarded in response to authors' request.

Note: The abstract will also be uploaded to the online meeting system. Only the registered participants to this symposium can sign-in to the online meeting system. The uploaded abstract and presentation files are converted to an image file with watermarks printed on each slide and shown to the participants. It is difficult to make the system impossible to download or copy the file, but the participants are asked not to download or copy the file. The original presentation file uploaded by the presenter is kept invisible to the participants. Please continue to register only if you agree to this online meeting policy.

If you do not have software to convert your documents to PDF files, there are several ways to do so, even via free software such as OpenOffice. See the following websites:

Acceptance of abstract

After the deadline of the abstract submission, the LOC finally decides to accept an abstract. An abstract, however, may not be adopted as judged inappropriate for presentation, e.g., in the following cases:

- the contents are found to be greatly different from the purpose of the symposium and the session.

- the contents of the abstract are found to be scientifically inappropriate or poorly formatted as a paper for presentation.

- Notification of acceptance (or not) for the abstracts will be sent via e-mail in late October. For those who will not give any presentation in the symposium.
