Privacy Policy

Inter-university Research Institute Corporation Research Organization of Information and Systems, National Institute of Polar Research, Arctic Environment Research Center (hereinafter referred to as “AERC”) obtains, retains, and uses personal information necessary to promote its Arctic and other north and south polar studies. The AERC shall endeavor to protect personal information by complying with the relevant laws and regulations of Japan that are applied in relation to the acquisition, retention, and use of personal information and taking into consideration the EU General Data Protection Regulation (GDPR). The AERC shall also endeavor to protect the privacy of users and other data subjects based on the Personal Information Protection Regulations of the Research Organization of Information and Systems (hereinafter, “Regulations”) and this privacy policy. The person responsible for protection of personal information under this privacy policy shall be the Director of the AERC and the Manager of the AERC assists the responsible person.

1. Acquisition and Retention of Personal Information

If you use the website of the AERC or the AERC receives your inquiry, the AERC shall obtain your personal information by lawful and fair means.

When the AERC obtains the personal information, the AERC shall publicly announce or notify the purpose of use (including public announcement in this Privacy Policy). If the AERC obtains the personal information directly from contracts or other documents (including electronic records), the AERC shall specify the purpose of use in advance.

The AERC shall not retain the personal information beyond the scope necessary to achieve the prescribed purpose of use.

2. Purposes of Use

The AERC shall use the personal information for:

  • creating and managing the accounts of users who use the services related to the website operated by the AERC (hereinafter, “Services”);
  • notifying of maintenances, malfunctions, etc. and informing of symposiums, workshops, other events, surveys, etc.;
  • improving the Services through expansion and development of services that meet more of the needs of users based on the analysis of the tendency, interest, etc. of users in obtained information, etc.; and
  • other purposes that will be publicly announced or notified when the personal information is obtained.

If the personal information is obtained or used for a purpose other than any of the above-mentioned purposes, the purpose of use shall be specified on the website of the AERC.

3. Use of Personal Information

The AERC shall not use the personal information for any purposes other than the purpose of use unless it does so based on the Regulations. The AERC shall not provide the personal information to any third party without obtaining each relevant principal’s prior consent except as provided for in a law or regulation. If, based on the Regulations, the AERC provides the personal information to a third party or entrusts a third party with operations related to handling of the personal information, the AERC shall strictly examine the third party’s capability, etc. to ensure security of and manage such personal information and shall conduct necessary and appropriate supervision over the third party in causing the third party to handle such personal information.

4. Method of Management of Personal Information

The AERC shall endeavor to maintain the accuracy of retained personal information and to protect the personal information of users by taking appropriate measures to safely manage the personal information including prevention of loss, external leakage, destruction, falsification, etc.

5. Disclosure, Correction, Suspension of Use, or Deletion of Personal Information

The AERC shall respond within reasonable time and scope as provided for in the Regulations to the request by the principal for disclosure, correction, suspension of use, deletion, or other processing of obtained personal information after confirming the identity of the principal.

The AERC shall delete or discard obtained personal information as provided for in the Regulations if the AERC no longer need to use it regardless of the presence or absence of such request from each relevant principal.

6. Request for Disclosure, Correction, Suspension of Use, or Deletion of Personal Information

If you desire any disclosure, correction, suspension of use, deletion, or other processing of your personal information, you must contact the following contact point.

7. Continuous Improvement of Efforts on Protection of Personal Information

The AERC shall endeavor to thoroughly inform its officers, employees, and contractors who are entrusted with handling of personal information of, and to always improve and enhance, the personal information protection efforts prescribed by the Research Organization of Information and Systems.

8.Access Logs

The AERC records and stores access logs including IP addresses used by each user of this website. Individuals are not identified from using IP addresses. The access logs recorded in this website will not be used for any other purposes than for statistical analysis of the tendency and number of accesses and for diagnosis in the case of a problem in the server of the AERC. The results of statistical analysis shall be used to see the tendency of accesses by users and as a reference material for future operation of this website.

9. Cookies

The website of the AERC contains services that use cookies in order to enhance user friendliness. Cookies are information stored in the browser of the computer of each user from the server of this website and do not contain his or her name, e-mail address, and other personal information. Cookies can be disabled from the setting of your browser. There shall be no problem in your use of this website if cookies are disabled.

Google Analytics is used in part of the website of the AERC in order to improve the contents thereof and services provided in this website. The data collected through the use of Google Analytics shall be managed based on the Google’s Privacy Policy. Check the links below for details.
